Refund & Cancellation Policy

Please read our refund and cancellation terms carefully before confirming your booking. All bookings are subject to these conditions.

Important: By confirming your booking and making a payment, you acknowledge and accept this policy. Due to the nature of photography services โ€” where dates are exclusively blocked and preparation begins immediately โ€” advance payments are largely non-refundable. Please read this page in full before booking.

Policy Overview

Esha Clicks operates in a time-sensitive, service-based industry. When you book a date with us, we exclusively block that date and immediately begin preparing for your event โ€” this includes scheduling, equipment preparation, travel planning, and turning away other clients who enquire about the same date.

Because of this irreversible commitment of time and resources, our refund and cancellation policy is strict by necessity โ€” not by choice. We encourage all clients to be certain of their booking before making any payment.

This policy applies to all photography and videography services offered by Esha Clicks.

Before you book: If you're uncertain about your date, venue, or requirements, please WhatsApp us first. We'd rather have a conversation than have you in a situation where you need a refund.

Non-Refundable Amounts

All advance booking payments made to Esha Clicks are strictly non-refundable once a booking is confirmed. This includes:

  • The 20% advance booking payment
  • Any partial payments made prior to the event
  • Any processing fees or taxes paid

Once payment is received and booking is confirmed, the advance amount is forfeited in the event of a cancellation โ€” regardless of the reason, including change of plans, venue unavailability, personal emergencies, or other unforeseen circumstances.

Why is the advance non-refundable? When you book, we turn down all other enquiries for your date. The advance compensates for that lost opportunity cost โ€” not for any work delivered.

What is refundable

The 80% balance payment โ€” which is due only after the shoot is completed on event day โ€” is never charged if your event does not take place. You will not owe us the balance for a shoot that did not happen.

No Cancellation Policy

Esha Clicks does not accept cancellations once a booking is confirmed and advance payment is received. This applies regardless of:

  • How far in advance the cancellation request is made
  • The reason for cancellation โ€” personal, medical, professional, or otherwise
  • Whether the event or shoot has been partially completed
  • Changes in circumstances beyond the client's control

When a cancellation occurs, we lose the ability to accept other bookings for that date, and our time and resources have already been allocated. All cancellations will result in forfeiture of 100% of the advance amount paid.

The only exception to this is cancellation initiated by Esha Clicks โ€” covered in Section 08.

Rescheduling Policy

We understand that genuine situations arise. Rescheduling โ€” as opposed to outright cancellation โ€” is treated more flexibly. Here's how it works:

1. Advance Rescheduling (30+ Days Prior)

If you request a reschedule at least 30 days before your original event date, we will accommodate one rescheduling request at no additional charge, subject to availability. The new date must fall within 6 months of the original booking date.

Best case: Give us 30+ days notice and we'll move your date for free โ€” as long as the new date is available. No penalties, no stress.

2. Short-Notice Rescheduling (7โ€“29 Days Prior)

Rescheduling requests made between 7 and 29 days before the event are subject to:

  • Availability check โ€” not guaranteed
  • A rescheduling fee (to be communicated at the time of request, based on costs already incurred)
  • New date must be within 3 months of the original date

3. Last-Minute Rescheduling (Under 7 Days)

No rescheduling will be permitted if requested less than 7 days before the event date. This will be treated as a cancellation, and 100% of the advance payment will be forfeited.

Rescheduling Limitations

  • Only one reschedule is permitted per booking
  • Subsequent reschedule requests will be treated as cancellations
  • Rescheduling is subject to team and date availability โ€” we cannot guarantee a specific new date
  • If the requested new date is unavailable, no refund of the advance will be issued
  • Peak season dates (festive months, holiday weekends) may have limited availability for rescheduling

Client No-Show Policy

If our photographer arrives at the agreed venue and time, and the client fails to appear, is significantly delayed without prior communication, or is otherwise unavailable โ€” this constitutes a no-show.

In the event of a client no-show:

  • 100% of the advance payment is forfeited
  • No refund, credit, or rescheduling will be offered
  • Any outstanding balance as per the original agreement may still be payable

Please communicate in advance: If you anticipate any delay or change in plans on event day, contact us as early as possible. We will always try to accommodate reasonable situations when informed proactively.

Force Majeure & Weather Conditions

Client-Initiated Cancellation Due to Weather

Unfavourable weather conditions โ€” rain, heat, fog, or similar โ€” do not constitute valid grounds for cancellation or a refund. Our photographer is equipped to work in varied weather and will make reasonable adjustments (shifting to an indoor area, adjusting timing, etc.) where possible.

Outdoor Shoots

For outdoor shoots such as pre-wedding sessions or birthday garden shoots, we will make reasonable efforts to reschedule in the event of severe weather conditions that make the shoot genuinely unsafe or impossible. However, no refund will be issued for weather-related cancellations initiated by the client after we have already incurred travel or preparation costs.

Force Majeure Events

Circumstances such as natural disasters, government-imposed restrictions, curfews, pandemics, civil unrest, or widespread power failures that make it genuinely impossible to fulfil the booking are considered force majeure events. In such cases, rescheduling to a mutually agreed date will be the first resolution offered. Refund terms in force majeure situations will be decided fairly on a case-by-case basis.

Partial Service Completion

If our photographer arrives at the venue and the event is cut short, ends earlier than booked, or coverage is possible only for a portion of the agreed duration โ€” due to circumstances not caused by Esha Clicks โ€” no refund will be issued for the uncovered portion.

The client will receive deliverables for the portion of the event that was covered, and the full payment as per the original agreement remains due.

Example: If a 3-hour shoot is booked but guests leave after 1.5 hours, we will deliver photos from the 1.5 hours covered. The full package price remains applicable as our time and commitment were reserved for the full duration.

If Esha Clicks Cancels

We take our commitments extremely seriously. In the rare event that we are unable to fulfil a confirmed booking due to circumstances on our end โ€” such as a medical emergency, serious equipment failure beyond backup capacity, or unavoidable personal circumstances โ€” we will:

  • Option 1 (Preferred): Reschedule to an alternative date mutually agreed upon, at no extra charge to the client
  • Option 2: Arrange for a qualified alternate photographer of comparable experience, subject to client approval
  • Option 3 (Last Resort): Issue a full refund of all amounts paid if neither Option 1 nor Option 2 is feasible

Our commitment: In 4+ years and 500+ events, we have never cancelled on a confirmed client. We stand by our bookings, and you have our word on that.

No Transfer or Credit Policy

Booking amounts cannot be transferred to another person, applied to a different event, or adjusted against future bookings โ€” unless explicitly permitted under the rescheduling policy outlined in Section 04.

There is no store credit or credit adjustment system for cancelled bookings. The advance paid is specific to the confirmed booking, date, and package โ€” and forfeiture on cancellation is final.

Refund Processing (Where Applicable)

In the limited circumstances where Esha Clicks determines a refund is warranted โ€” such as our inability to fulfil services where no alternative solution is feasible โ€” refunds will be processed as follows:

  • Refunds will be issued to the original payment method used (UPI, bank transfer, or cash)
  • Processing time: 7โ€“14 business days from the date of approval
  • Additional bank processing time: 3โ€“5 business days (depends on your bank)
  • Any payment gateway charges or transaction fees are non-refundable
  • Refunds will be issued only to the person who made the original payment

Please note: Refund eligibility is determined solely by Esha Clicks based on the circumstances and the terms outlined in this policy. Disputes regarding refund eligibility are subject to the jurisdiction of courts in Gautam Buddha Nagar (Noida), Uttar Pradesh.

Client Acknowledgement

By making a payment to Esha Clicks, you explicitly confirm that you have:

  • Read and fully understood this Refund & Cancellation Policy
  • Agreed to the no-cancellation terms and advance forfeiture conditions
  • Understood the limitations and conditions on rescheduling
  • Confirmed that you are certain of your booking date, time, venue, and requirements
  • Accepted that advance payments are non-refundable under any circumstances except those explicitly stated above
  • Understood that the 80% balance will only be charged after the shoot is successfully completed on event day
